This is a contract position.

Overview:

The Recruiting Coordinator will lead the coordination of activities for Campus / University Relations recruiting as well as the on-boarding program for new hires. 

Responsibilities:

- Assist with email communication and follow up through the Campus Careers Inbox (i.e. obtain additional information or respond to student inquiries).

- Assist with managing Campus Referrals, reimbursements, candidate communications, invoices, and key registration information, etc.
- Work with 3rd party vendor to post Summer Intern and ALLEX job descriptions through University Career Centers.
- Work with the campus recruiter and broader campus team to ensure all activities are requested, scheduled, staffed, organized and executed to a high standard.
- Coordinate recruiting event logistics (travel, giveaways, collateral, nametags, catering etc.) for campus events and office visits.
- Prepare materials for campus events and office visits (making nametags, shipment of brochures, giveaways, for all events, etc.).
- Provide administrative support ahead of the recruitment day to campus interview teams (check attendance of candidates, prepare interview packs).
- Provide recruitment support for campus recruiter including tracking and reporting on candidate applications, and management of candidates in the system from new application to hired status.
- Generate offer letter and packages and appropriately document and manage the post offer, pre-hire process to ensure all necessary actions are taken prior to the new hire start date.
- Manage candidates through the pre-boarding process: provide HR, Payroll, Talent Mobility teams with on-boarding information, launch background checks, system updating, be the candidate point of contact throughout the process.
- Must be flexible to perform other duties as assigned.
- Be the first point of contact for on boarding inquiries
- Initiate communication with all new hires prior to their start date, and provide on-boarding schedules and information on next steps
- Develop on-boarding materials such as welcome manuals, schedules and agendas
- Coordinate logistics for monthly new hire orientation (giveaways, facilitators, food, travel, etc).
- Update and maintain the new hire spreadsheet
- Ensure the completion and compliance of all client on-boarding requirements
- Follow up emails and calls to candidates informing them of on-boarding status and answering questions throughout the paperwork process
- Participate in the development and implementation of new HR processes related to on- boarding new joiners.

Qualifications:

- High School Diploma required, preferred that candidates have a Bachelor’s degree in a relevant field.

- Four (4) years’ experience in Human Resources or Recruitment.
- Knowledge and experience using an Applicant Tracking System (ATS).
- Proficient in MS Office and/or Google applications.

- Must have a proven ability to establish and maintain excellent working relationships.
- Ability to work well under pressure and have strong organizational and problem solving skills.
- Highly self-motivated, able to work fairly autonomously with general direction.
- Ability to multi-task, manage conflicting priorities and meet deadlines.
- Proficient in MS Office and/or Google applications.
- Must have excellent verbal and written communications skills.
- Must have excellent time management and organizational skills in order to accomplish numerous tasks and assignments.
- Proven problem solving ability and successful conflict resolution.
- Initiative, high energy, strong sense of urgency and the ability to handle many projects simultaneously.
- Excellent customer focus (internal & external).
